1. Booking

(a) Your booking is not considered definite and no contract will exist until we receive your first or full payment for the retreat cost from you AND you agree to these terms and conditions. (b) We do not share customer details with any 3rd parties.

2. Payment

(a) The price is the exact amount to be received by us in US Dollars.

(b) The full payment amount is due on or before 30 days prior to the retreat via PayPal, Zelle, or cash.

3. Your Travel Arrangements

All travel arrangements are your responsibility and at your own cost. We shall not be held liable for any consequences arising from delays or cancellations in any of the companies you may have made arrangements with, or for any irregularities in your documentation required for travel. Transfers to/from the retreat are at your own cost, unless otherwise specified.

4. Travel Insurance

(a) Travel insurance is highly recommended. If you choose to buy insurance we require that your travel insurance covers the activity of this retreat as well as unexpected cancellation, sickness, losses and all the usual risks. You should bring the policy with you in case of an emergency.

5. Your Health

(a) It is your responsibility to let your Yoga Instructor know if you have any injuries and to be mindful at all times of your own body’s capability during the retreat. If you experience any injury or discomfort during any activity during the retreat, then you must desist immediately.

(b) It is also your responsibility to consult a doctor with an understanding of yoga and movement to check that you are sufficiently fit and healthy* to undertake yoga classes and other physical activities that you may choose to do. *We do not agree with healthism and health shaming, but rather want to make sure you understand your ability and limits regarding movement.

(c) Please advise us of any mental or physical health conditions and dietary requirements before you book. If you have health conditions and dietary requirements that may be affected by the activities offered on our retreats we reserve the right to advise you to desist and in the interests of your well-being, or others, we may decline your stay at our retreats.

(d) Whilst all measures are taken to ensure a high standard of health and safety, there is the possibility of being around land that is uneven and we shall not be responsible for any injuries caused by uneven terrain.

(e) People who are 12 to 28 weeks pregnant should provide a letter from their health practitioner specifying that they are fit to travel and able to engage in the activities that we provide. We would prefer pregnant people to have done a little yoga before they arrive and to know their limits and abilities to keep themselves safe. (f) Any use of the pool and pool area is at your own risk. Any injuries sustained are not the liability of the hosts or hotel. Please use caution when accessing the pool and hotel grounds.

6. Cancellation by you

(a) You may cancel your booking at any time, notified to us in writing. Cancellation will take effect the day such notification is received by us. If such cancellation is made you will forfeit any previous payments made. However, if another person can be found to take your place, then we may offer you a refund at our discretion.

(b) Bookings are for the stated period of the retreat. There are no refunds for an unused portion of the retreat, and the hotel must receive full payment for your room if you choose to leave the retreat before it ends. If the reason for cancellation is covered under the terms of your Insurance Policy, you may be able to make a claim on your insurance.

(c) If you do not attend or choose to leave before the end of the retreat, the payment for your hotel room is still your financial responsibility. This means that the full payment for all reserved nights at the hotel must be paid by you. The retreat hosts are not responsible for full or partial payment of your hotel room under any circumstances.

7. Amendments by us

We do not expect any changes to be made, but if it becomes necessary (e.g., host, movement instructor, class times, venue, activities, or other arrangements), we reserve the right to do so at any time. If your accommodation has to be changed, we will do our utmost to provide accommodation of a similar rating. If a significant change becomes necessary, we will inform you as soon as reasonably possible if there is time before your departure.

8. Rescheduling/postponement by us

We reserve the right in any circumstances to reschedule or postpone the retreat. If the retreat must be rescheduled or postponed, it will be rescheduled for another date at the same venue with the same or similar hosts, and any payments you’ve made will be carried over to the new date.

9. Covid cancellation/rescheduling policy

(a) All attendees must take and show proof of a negative COVID test no more than 72 hours before arrival at the retreat. Any attendees with a positive test will not be allowed to attend the retreat and will forfeit their payment. (b) Hosts and hotel are not liable for any transmission of COVID or other illnesses that occur during or after the event. (c) All attendees must be fully vaccinated - one Johnson & Johnson vaccine dose plus a booster or two Moderna or Pfizer vaccine doses plus a booster. This definition of “fully vaccinated” may be amended in the future if additional booster doses are available to the public. Attendees must email proof of vaccination at least 30 days prior to arrival. (d) All COVID guidelines listed here and in place for the event are subject to change without notice in order to maintain the strictest adherence to the CDC guidelines and recommendations. Additionally, the hosts and hotel may update and change safety guidelines without notice in order to protect the integrity of everyone’s health and safety. (e) If you are no longer able to attend the retreat because of a COVID diagnosis, please notify us by email. Cancellation will take effect the day such notification is received by us. If such cancellation is made you will forfeit any previous payments made. However, if another person can be found to take your place, then we may offer you a refund at our discretion. (f) If circumstances beyond our control make rescheduling/postponement necessary, attendees will be notified immediately and with as much notice as possible. By signing this agreement, you understand and agree that notice of rescheduling/postponement may be given less than 24 hours prior to the start of the event. In the case of postponement, where the attendee does not wish to attend at the later date, the hosts will make every effort to help the attendee fill their spot with another paying participant so as to relinquish their payment responsibility.

10. Our liability to you

(a) We accept responsibility for ensuring that the retreats are supplied as described and that the services we are contractually obliged to provide are to a reasonable standard.

(b) We do not accept any liability for cancellations, delays or changes caused by war, threat of war, terrorist actions or threats, closure of airports, civil strife, industrial action, natural disasters including but not limited to threats from weather and disease, technical problems to transport, staff cancellations, unforeseen changes in your personal circumstances or other events beyond our control. In the case of a cancellation due to any of these events we will refund as much of your payments as possible, but may not be able to refund any or the entire amount. (c) We are not liable for any injuries you may incur. Participation is undertaken at your own risk. We are not liable for any medical or psychiatric conditions, which may develop during or subsequent to the retreat. We are not liable for loss of, or damage to, your personal property.

11. Group Bookings

Where a booking is made on behalf of several individuals the booking is conditional on the person(s) paying having authorization from all the individuals named on the booking form to enter into this contract. The terms of this contract will apply to each member of the group as though they had paid for their own retreat individually and directly to us.

12. No Liability for possessions

(a) It is your responsibility to ensure that your possessions are kept safe at all times. This includes hired cars or other hired equipment.

13. Complaints

If you have a problem during your retreat, please inform the hosts immediately and they will endeavor to put things right. Please note that we cannot be responsible for the individual behavior of any group member or other guest sharing your accommodation. Any complaints about the hotel’s amenities or spaces should be addressed to both the hotel staff and the hosts.

14. Privacy Policy

We do not share customer details with any 3rd parties. Any personal information that you provide to us will be used only for the service you requested.

15. Weapons Policy

No weapons of any kind are allowed on the grounds.

16. Accessibility

(a) Hosts acknowledge the limitations of the hotel’s accessibility in the rooms and common spaces. All efforts have been made to maximize existing accessibility in the planning of programming of the event. (b) Attendees concerned with physical accessibility should contact hosts and hotel to confirm suitable accommodations and resources. (c) By registering for the event and signing this agreement, attendees acknowledge and agree to the limitations of accessibility at the physical venue.

17. Safe Space Policy

This retreat is a safe space for ALL people and is a diet talk-free zone. No weight loss or diet talk, homophobia, transphobia, racism, ableism, or other bigotry is allowed. Anyone actively participating in these, or any other forms of oppression, will be asked to amend their behavior. Attendees not willing or able to change their behavior to fit within these guidelines or safety policy can be asked to leave the event and will not be allowed to participate as an attendee.
